How to calculate the true cost of property-management software
Use one annual-cost model for every vendor. If a fee is unknown, mark it unknown instead of assuming zero.
The formula
Estimated annual cost =
Base subscription
+ unit-based charges
+ payment fees you expect to absorb
+ e-signatures / screening / communication add-ons
+ onboarding or implementation
+ required integrations
+ other recurring modules
Step 1: Fix the operating scenario
Choose one realistic scenario and use it for every platform. Example: 50 units, 45 electronic rent payments per month, 20 new or renewed leases per year, two staff users and professional management for multiple owners.
Step 2: Separate required from optional costs
A feature is not a cost merely because a vendor offers it. Include a charge only when your operating scenario requires it. Keep optional modules in a separate line so they do not distort the base comparison.
Step 3: Check pricing cliffs
Some systems change plan, minimum or fee structure at specific unit counts. Run the same model at your current size and at the size you reasonably expect to reach next.
Step 4: Preserve the date and source
Software pricing changes. Save the vendor pricing page or written quote date used in your calculation. A comparison without a date quickly becomes misleading.
Our calculator roadmap
We are building a vendor-by-vendor cost calculator designed for growing portfolios. The calculator will distinguish publicly documented prices from assumptions and will show the date each input was verified.
